Migrating from Zoho to HubSpot CRM

CRM software is a crucial component in managing all the customer interactions and data in today's business landscape. Zoho CRM is one of the most popular CRM platforms currently available in the market; like HubSpot, Zoho is a cloud-based CRM especially good for small to midsized businesses, but it may not always meet the needs and requirements of growing businesses.

You might find that your business has outgrown Zoho, and you may need to migrate to another CRM. HubSpot CRM is an excellent option for businesses looking to move away from Zoho. HubSpot is built for customization to best suit your specific business needs and scaling your business to grow better and faster.

Assess Your Business Needs

The primary reason to switch from Zoho CRM to HubSpot is that your business needs have changed. This could be due to an increase in customer traffic, a need for better customization, or even just more features and reporting capabilities. It's important to assess what your current needs are, as well as what you anticipate needing in the future. This will help solidify that HubSpot is indeed necessary for your business and will ensure the migration process runs smoothly.

Export Your Zoho CRM Data

Once you've identified the data you need to migrate, export it from Zoho in a CSV format. You can do this by going to the settings page and selecting the option to export data. Make sure to double-check the exported file to ensure that all the data you need is included. You can also use HubSpot's import tool; however, it is essential to keep in mind that only the core data will be transferred, and some of the customization and configuration might need to be set up again from scratch.

Map Fields to HubSpot Properties

The most critical stage in migrating from Zoho CRM to HubSpot CRM is mapping your fields from Zoho to HubSpot's properties. Make sure to map the fields in the CSV file to the corresponding fields in HubSpot CRM. Before starting the mapping process, it is essential to decide which data fields are necessary in the new system and which data fields are not. Also, make sure to set up any custom fields you need before importing your data.

Import Your Data Into HubSpot

Once all the fields have been mapped and reviewed, it’s time to import your data into HubSpot CRM. The import process is straightforward and can be done in a few clicks. Using the CSV file you exported from Zoho, import your data into HubSpot. As mentioned earlier, only core data will be transferred; any customizations or configurations will need to be set up again from scratch.

De-duplicate Data

One of the most significant issues faced while migrating is duplicated data. Once the data is exported from Zoho to HubSpot, it is necessary to identify and remove any duplicate data to preserve data integrity.

Test and Confirm Data Accuracy

The final step in the migration process is testing and verifying the accuracy of the data once it is migrated to HubSpot. The test should run on sample data that should be spot-checked to ensure all the records are correctly migrated.

Train Your Team

If your team is used to using Zoho, make sure to train them on how to use HubSpot CRM. Show them the differences between the two systems, and how they can take advantage of all the features HubSpot has to offer. If you don't have a HubSpot admin on your team, you may consider reaching out to a partner agency for a system audit, optimization, and training. It will be a lot easier to learn HubSpot from someone who works in the CRM everyday. Don't forget to shut down your Zoho account!

Final Thoughts

Migrating from Zoho CRM to HubSpot CRM can be a challenging task, but with careful planning and preparation, it can be a seamless process. HubSpot CRM offers several benefits over Zoho CRM and can equip businesses to efficiently manage their customer relationships. Incorporating HubSpot into your business can help you create a streamlined process, saving you time, resources, and providing actionable data, which can help you develop meaningful insights about your customer's wants, needs, and behaviors.
